e-Deliveries in Poland – a digital revolution in company communication with authorities

From January 1, 2025, the obligation to use the e-Delivery system has covered a significant part of enterprises in Poland. The new electronic communication system with public administration is ultimately intended to replace traditional registered letters and paper correspondence. What does this mean for companies and how to prepare?

What are e-Deliveries?
e-Deliveries are a public service enabling electronic sending of official letters with the same legal force as a registered letter with acknowledgment of receipt. It is part of a broader process of digitizing administration in Poland and the European Union.
Each company will be assigned a so-called electronic delivery address (ADE), and correspondence with offices (e.g. ZUS, KAS, US, GUS) will take place exclusively through a dedicated system.

Key dates

Date Who does it concern?
January 1, 2025 New companies registering in CEIDG or KRS
April 1, 2025 Obligation to activate the e-Deliveries mailbox for existing entities from KRS
By the end of 2025 Gradual inclusion of subsequent groups of entities and offices into the system

• Companies registered in KRS (limited liability companies, joint-stock companies, limited partnerships, general partnerships)
• Entrepreneurs conducting activity entered in CEIDG
• Public entities

Setting up an e-Deliveries mailbox (ADE)
The company must independently register the mailbox or authorize a proxy to receive correspondence.

Monitoring the mailbox
After 14 days from delivery, the letter is considered effectively received -even if no one has read it. Regular servicing of the system is a necessity.

Integration with IT systems
Possibility to use the online panel or integrate e-Deliveries with the company’s document workflow system.

Consequences of lack of implementation
• Lack of possibility of effective contact with administration
• Risk of missing official deadlines
